Just wanted to let you guys know that our evanced room attendance for 2008 is current and up to speed! Yay!
Let's do our best to record attendance for B and C when we let the people in since usually everyone that is coming shows up when you unlock the door.
Also, any time that you reserve a room for a committee meeting or are the NP representative for the meeting, put in your attendance as soon as you can or refer to the minutes to see what the exact attendance was. For the month of January, none of the rooms reserved by the NP administrator card had their attendance recorded (I am guilty of this too!).
Don't forget to give out the attendance sheets to patrons using the larger rooms! If you happen to notice them leaving without giving you the sheet back, make sure to ask them for it. Not that it's necessarily a bad thing, but our attendance record for January is unusually high because there were practically no stats recorded so all I had to go off of was the estimated number.

IAAP/Henrico County/Hanover County
Hi all,
Please remember that they are to use study room A for four hours and not the conference room. They came today and I put them in the study room where they are supposed to be. They were told to use IAAP instead of County of Henrico and Hanover County and that they can not book the small conference room since the rules state that it is only for meetings.

Small Meeting Room
REMEMBER that the Small Meeting Room or "Conference Room" is NOT a study room and thus can not be booked for individual or group study. Only clubs, organizations, etc. may use the room and it MUST be booked by an adult. Tonight we had a group of 6-8 kids using it for study (sortof) purposes and it was booked by a 14 year old. Be careful about who is confirmed to use that room so that we stay with in the guidelines for meeting rooms. (It is, of course, okay for a group of kids to use the Group Study Room, though.)

Cancelled Room Reservations
Ah, E*Vanced, I never I tire of writing about you.
A long-time listener has written in to ask about using the "delete" function in E*Vanced. Yes, go ahead and use it when the person who reserved the room calls or e-mails us to say s/he no longer need the room. Or, if s/he is changing the date.
The delete button appears in the bar about the organization name, date, etc. when you are looking at Accepted reservations. It's gone for good when you do this, so go slow and make sure you've got the right one.

Meeting/Study Rooms
Be aware that patron requests for meeting or study rooms MUST be done either in person (in the library) or on the Internet. Because the patron has to agree to the conditions of use, we are not able to take their reservation over the phone. I apologize for not making this clear to many of you!
